Meetings

Record and transcribe meetings on-device, with a live panel, notes, and an AI Ask tab.

Meetings is where Everpaper records, transcribes, and summarizes your conversations. Recording and transcription happen on-device. Each finished meeting is saved alongside your days so you can revisit it later.

Start a recording

There are three ways to begin:

  • Record tile — open the Meetings page (or the daybook's Today page) and click Record on the "Record a meeting" tile.
  • Hotkey — press ⇧⌘M from anywhere. The same shortcut stops the recording when you're done.
  • Menu bar — click the Everpaper status item and choose Start Recording.

You can also begin from the Index: ⌘KBegin minutes.

When you start, Everpaper checks for Microphone and Screen Recording access. If either is missing, it points you to System Settings. The first time, grant both so capture can run.

Microphone and system audio

By default Everpaper records two streams at once — your microphone and your Mac's system audio (the other people on the call) — and keeps them as separate, time-aligned tracks.

Choose the default for new recordings under Settings → Audio sources:

  • Microphone + System Audio (default) — records your voice and the call together.
  • System Audio Only — captures just what's playing on your Mac, with no microphone. Use this for recordings where your own voice isn't needed.

The microphone Mute control is available only in Microphone + System Audio mode.

The live panel

Click the floating pill to open the meeting panel. The header shows whether you're Recording or Paused, the elapsed time, and live level meters for the microphone and system audio.

From the header you can:

  • Mute / Unmute the microphone (mic + system mode only). Muting also pauses live transcription of your voice.
  • Pause / Resume — pausing stops capture without leaving a gap; the saved audio plays back seamlessly.
  • Stop — ends the meeting and starts transcription.

The panel has three tabs, switchable with ⌘1⌘3:

  • Notes (default) — type your own notes as the meeting runs. They're saved continuously. An Insert menu adds quick snippets like /decision, /action, and /question.
  • Transcript — the live, speaker-labeled transcript. Toggle Auto-scroll or Copy the text so far.
  • Ask — put a question to an AI provider about the conversation as it happens (see below).

Extracting todos from a meeting

A checklist button (✓) in the meeting header reads the transcript and extracts action items — things you said you'd do, were asked to do, or agreed to. They land in Today's Focus immediately, each tagged with the meeting they came from. You'll see them on the Today page.

This also happens automatically when a meeting finishes — you don't have to press the button. But if you edit the transcript, hide a speaker, or just want to re-extract, the button is there.

Hiding speakers

Sometimes you want to share a transcript without your own voice in it — or without a noisy participant. In any saved meeting:

  • Hide my voice — a one-click toggle at the top of the transcript removes your turns from the view. Nothing is destroyed; bring them back anytime with the same toggle.
  • Hide any speaker — the Speakers tab (⌘4 in the detail view) shows each participant's talk share. Click Hide from transcript on any speaker to remove their turns. Hidden speakers appear in a Hidden section with Unhide and Unhide all controls.

Hiding persists across re-analysis — if you re-run speaker detection later (to pick up model improvements), the people you hid stay hidden.

The floating pill

While a meeting is active, a small pill floats on top of every app. It pulses with your audio levels while recording, dims with pause bars when paused, shows a spinner while transcribing, and a checkmark when the meeting is saved.

  • Click the pill to open the panel.
  • Right-click for Stop, Pause / Resume, Open, and Cancel. Cancel discards the recording and deletes its audio, so it asks you to confirm first.

Ask during a meeting

The Ask tab lets you query an AI provider about the live transcript and your notes without leaving the call. The empty state offers browsable quick prompts grouped under Catch Up, Capture, and Challenge — for example "Summarize so far", "Action items", and "What should I ask?". Pinned follow-ups like "Tell me more" and "Counter-argument?" sit above the input once a thread is going.

Your Ask conversation carries over to the saved meeting, so you can keep working with it afterward.

Ask needs an AI provider; recording and transcription work without one. Connect a provider under Settings → AI Provider — a local provider keeps everything on your Mac.

After a meeting

When you press Stop, Everpaper transcribes the audio on-device and saves the meeting to your Recent meetings list. The pill confirms with a checkmark and clears itself shortly after.

A saved meeting keeps its transcript, your notes, and any Ask conversation. You can:

  • Rename it from the title.
  • Run prompt templates against it — Summary, Action Items & Decisions, Chapter Breakdown, and more.
  • Continue the chat about it from the meeting's page.
  • Save Audio to export the recording.

Run a summary automatically

Turn on Run marked prompts automatically under "After each meeting" to have chosen templates (the Summary template is marked by default) run as soon as a meeting finishes. Because this sends the transcript to your AI provider, it's off until you switch it on. Use Edit Prompts… to add, pin, hide, or reset the built-in prompts.

Privacy

Capture and transcription run entirely on your Mac. AI features — Ask, prompt templates, and auto-summaries — only reach out when you've connected a provider, and a local provider keeps everything on-device.
